BUYER’S GUIDE · RAG CHATBOTS
Reviewed by Mohammed Affaan Khan, GenAI & Agentic AI Engineer · Updated
In short: Choose a RAG chatbot development company on how it handles the hard parts: getting your documents in cleanly — PDFs, tables, scans — retrieving the right passage with hybrid search and reranking, proving accuracy with an evaluation set built from your real questions, enforcing who may see what, and keeping your data where it must stay. A polished demo on a clean FAQ page shows none of that. This guide is a checklist for teams choosing a partner, based on the questions buyers ask us.
What to evaluate
Ingestion and parsing
Real documents are PDFs with tables, scanned forms, slide decks and wikis. Ask how each is parsed, how a table survives the trip, and what happens when a document changes.
Hybrid retrieval and reranking
Keyword search finds exact terms and vector search finds meaning; production systems use both and then rerank. Ask what they use and how it is tuned on your content.
Evaluation on your questions
An evaluation set built from your real questions, with answer accuracy and citation accuracy measured on every change — not a demo that answers five questions well.
Access control
The chatbot must never show someone a document they could not open themselves. Ask how permissions in your source systems carry through to retrieval.
Data privacy and hosting
Where documents and embeddings are stored, which model providers see your text, and whether anything is retained or used for training.
Citations and refusal
A good system cites the passage it used and says it does not know when the documents do not contain the answer. Ask to see both.
Red flags
- !Accuracy claimed without an evaluation set from your own questions
- !No answer on how document permissions carry through
- !Answers with no citations, or citations that do not support the answer
- !A plan to fine-tune a model to teach it your facts
- !No process for re-indexing when documents change
Where Midalaxy stands
For transparency: this guide is written by Midalaxy — weigh it as one vendor’s view. Our retrieval systems run sub-50ms vector search in production, and SiteChat turns any website into a chatbot grounded in its own pages. We publish no prices: tell us your documents, systems and budget, and we will tell you what it takes.
Questions
What should I look for in a RAG development company?
Clean ingestion of your real documents, hybrid retrieval with reranking, an evaluation set built from your questions, permission-aware retrieval, clear answers on data hosting, and answers that cite their source or refuse. Judge them on a live system, not a slide.
How do you measure a RAG chatbot’s accuracy?
With a set of a few hundred real questions, each with the expected answer and source. Measure whether the answer is right, whether the citation supports it, and whether the bot refuses when it should — and run the set on every change.
What is hybrid retrieval?
Combining keyword search, which matches exact terms such as product codes and names, with vector search, which matches meaning, then reranking the combined results. Either one alone misses answers the other finds.
Should we fine-tune a model or use RAG?
RAG for facts that change; fine-tuning for consistent behaviour such as tone or output format. Most production systems use RAG first and fine-tune only when behaviour, not knowledge, is the problem.
Can a RAG chatbot handle confidential documents?
Yes, if retrieval respects the permissions of your source systems and the documents are hosted where your policy requires. Ask which model providers would see the text, and on what terms.
